AI fix procedures
Fix procedures are step-by-step instructions for correcting a finding in QuickBooks Online. They are available on Solo, Firm, and any engagement unlocked with a Single Cleanup credit. Free Preview does not include them.
Which findings get one
Procedures are written for warning and critical findings. Informational findings mostly do not get one, because the finding text already says what to check. Unused accounts are the main exception: the full procedure, with one client question listing every zero-balance account, sits under the first unused-account finding, and each later one points back to it. Missing recurring vendor charges work the same way when two or more vendors have gaps in the same account.
A category made up only of informational findings can therefore show few or no procedures. That is expected, not a failed generation. In a very large category, procedures are written for the most severe and highest-dollar findings first, so a long tail of small warnings can be left without one.
Generating them
On the report page, the teal AI Fix Procedures card near the top has a Generate AI Fix Procedures button. Generation runs one category at a time and shows progress as it goes. A complex file can take a few minutes.
When it finishes, every category that now has procedures opens on its own, so you can see them without hunting.
Finding them later
Each procedure sits directly under the finding it belongs to, inside that finding's category in the category list. Categories start collapsed when you open the page, and a category header with procedures carries a small teal Fix procedures tag.
To open all of them at once, use View fix procedures on the AI Fix Procedures card. It:
- opens every category that holds a procedure, plus any grouped findings inside it,
- clears the status, severity, and complexity filters so nothing stays hidden, and
- scrolls to the first category with a procedure.
What a procedure contains
- Investigate: where to look in QBO and what to pull up.
- Determine: what to decide from what you find.
- Scenario options: one block per likely situation, each with numbered steps.
- Bookkeeper verification: a check to run after the fix, when one applies.
- Ask the client: a ready-to-send question, when the fix depends on something only the client knows.
The checkboxes next to each step are a scratch pad for the current visit. They are not saved, and they reset when you reload the page. Use the finding's checklist status (In progress, Resolved, and so on) to track work that should persist. Copy text copies the whole procedure as plain text.
Exports and sharing
Procedures are included in the Diagnostic Report PDF and the Excel issue tracker, and in the download-all bundle that contains the report. They are not included in the client assessment PDF or in the client-facing share link, which show the health score and findings only.
If an engagement drops back to Free Preview (for example, when a trial ends), its procedures are no longer shown. They are kept, and they come back if you upgrade or apply a Single Cleanup credit to that engagement.
